Prepare for your participation as a speaker in the LeadingAge Annual Meeting and understand your speaker responsibilities!
Speaker Terms & Conditions
- Cover all expenses: You agree to incur all costs associated with your participation as a speaker.
- Keep conference dates open: You are willing to be available to present on any day during the conference.
- Attend the event: You commit to delivering your content in person.
- Maintain session originality: You agree not to present the same content at other conferences.
Important Dates & Tasks
By July 26 – Review Your Session Information
- Final session descriptions and scheduled dates/times are listed on the conference website.
- Notify us of any speaker changes or additional co-presenters as soon as possible.

By August 16 – Register for the Conference
- Speakers are entitled to a complimentary daily registration or $300 off a full conference registration – use SPEAKER in the promo code field at the top of the first registration screen.

VIP Registration Opens July 15: An additional $150 discount is available to LeadingAge provider members attending the full conference who register between July 15–19.
By September 13 – Submit Audio/ Visual Requests
- Rooms are set-up in rounds or theater style and equipped with wireless lavaliers, LCD projector, laptop (you can also use your own), and DI for sound.
- Request any additional A/V needs here; late requests cannot be accommodated onsite.

IMPORTANT: Speakers must bring their presentation to their session on a USB drive or saved to a cloud service. Speakers can also bring their own laptop.
By October 18 – Share Your Session Materials
- Provide a PDF of your session materials by logging into the Speaker Portal; attendees expect them to be available on the conference app.
- A branded PPT template is provided for your use.

Please Note: Your session’s expected attendance numbers will be posted here a few weeks prior to the conference.
Resources & Policies

- Make sure your content addresses the information outlined in the session description; don’t deviate from the learning objectives.
- Prepare your remarks to cover the full 60 minutes allotted for each session; don’t end sessions early.
- Limit panels to no more than four (4) speakers; ensure each can contribute meaningfully to the discussion.
- Tailor the information to the intended audience; be specific about the topic’s relevance and applicability.
- Avoid focusing on a specific product or service; describe what you do and how it can benefit providers and older adults.
- Don’t distribute promotional materials and/or solicit contact information from session attendees.

- Create your presentation materials using our branded PowerPoint template (optional).
- Visit the Speaker Lounge to relax, recharge, and meet with co-presenters to prepare for your session.

Sessions are intended to educate and should not be used as a forum to sell, promote, or market a specific product or service. Therefore, distributing promotional materials in sessions or soliciting business cards/contact information from session attendees is strictly prohibited.
- Access to a master registration list is provided to all conference attendees to facilitate peer networking and may not be used for promotional purposes.
- Attendees may opt-in during their registration process to receive promotional communications from business firms who have purchased an exhibit or event sponsorship.
- LeadingAge does not sell or provide attendee lists to third parties; please beware of companies claiming they have our attendee list.
- Individual session attendance lists are not provided; LeadingAge does not share information about session attendees with speakers.

To minimize disruptions to the learning environment, protect the privacy of session attendees, and honor the intellectual property rights of speakers, audio recording, video recording, and live broadcasting of sessions is NOT permitted.
