Prepare for your participation as a speaker in the LeadingAge Annual Meeting and understand your speaker responsibilities!

Speaker Terms & Conditions
- Keep conference dates open. Be available to present during any of the scheduled session dates and times.
- Attend the event in person. Deliver your session live on-site and assume responsibility for all expenses related to your participation.
- Ensure content exclusivity. Present original material tailored to our national audience and refrain from presenting the same content at other conferences.
Important Dates & Tasks
By July 25 – Review Your Session Information
- Final session descriptions and scheduled dates/times are listed on the conference website.
- Notify us of any speaker changes or additional co-presenters as soon as possible.

By August 15 – Register for the Conference
- Speakers are entitled to a complimentary daily registration or $300 off a full conference registration. Use promo code SPEAKER during registration.

VIP Registration Discount: LeadingAge provider members attending the full conference can receive an additional discount when they register during Very Important Provider (VIP) week. More details to come.
By September 12 – Submit Audio/ Visual Requests
- The standard A/V setup for sessions includes wireless lavalier and podium microphones, an LCD projector with laptop, and sound capabilities.
- Bring a copy of your presentation on a USB drive or save it to a cloud service to access during your session (optional: bring your own laptop).
- Request any additional A/V needs here. Late requests cannot be accommodated onsite.

IMPORTANT: To maximize room capacity, sessions will be arranged with round or theater seating (roundtables cannot be accommodated).
By October 24 – Share Your Session Materials
- Upload a PDF of your session materials via the Speaker Portal. Attendees expect these to be available on the conference app.
- Bring a copy of your presentation on a USB drive or save it to a cloud service to access during your session.
- A branded PowerPoint template is available for use.

Note: Expected attendance numbers will be posted in the Speaker Portal a few weeks prior to the conference.
Resources & Policies

Ensure your content aligns with the session description and learning objectives.
- Make sure your presentation fills the full 60-minute session, leaving time for questions.
- Limit panels to four (4) speakers and keep introductions brief to allow ample time for your content.
- Tailor your presentation to the intended audience; focus on relevance and applicability.
- Avoid promoting specific products or services, do not distribute promotional materials, or solicit attendee contact information during sessions.
Don’t Forget the Basics: Use slides as visual aids to summarize key points, especially when presenting large amounts of information. Avoid using slides as scripts or overcrowding them with text or data.

- Promote your participation using our email graphic and social media resources (coming in the Aug/Sept).
- Create presentation materials using the branded PowerPoint template (optional).
- Visit the Speaker Lounge to relax, recharge, and meet with co-presenters to prepare for your session.

- Sessions are for education, not product promotion. Promotional material distribution and attendee solicitation are prohibited.
- A master registration list is provided to attendees exclusively for networking purposes and may not be used for promotional activities. Attendees can opt in to receive promotional communications from business firms that have purchased an exhibit or event sponsorship.
- LeadingAge does not sell or provide attendee lists to third parties. Beware of false claims about access to attendee lists.
- Individual session attendance lists are not provided, and LeadingAge does not share attendee information with speakers.
